1.0 Privacy

Our Commitment - Not selling your information: You have entrusted the National Council of Young Men’s Christian Associations of the United States of America and its independent and autonomous member associations (collectively “The Y”) with your personal information, and we’re committed to using it wisely. The Y will not sell, share, or otherwise transfer your personal information to anyone without your consent. - Restricting access: The Y takes reasonable precautions to restrict access to your personal information only to employees authorized for business purposes. Questions or concerns can be directed to marketing@ppymca.org. - Regular updates: This policy may change over time to address new issues. Material changes will be posted on our websites, and the “Effective Date” will be updated.

Scope of Privacy Policy This policy applies to personal information provided to The Y through our websites, mobile applications, or in-person at YMCA branches. It does not apply to unaffiliated sites or to Personal Health Information (PHI) collected through programs requiring HIPAA compliance.

Collection of Personally Identifiable Information (PII) The Y collects PII when you voluntarily provide it, including: - Name, address, email, phone number, date of birth, demographics, membership status, and emergency contacts - Participation in events, classes, camps, or programs - Registration for surveys, forums, content submissions, or other services - Membership registration or creating a non-member account

1.1 Communications

Consent to Communications When you provide your phone number via our website, membership forms, or contact forms, you may be asked to check an opt-in box acknowledging that your number may be used to contact you regarding YMCA programs, services, membership information, or responses to inquiries you submit.

By opting in, you consent to receive communications from YMCA of the Pikes Peak Region, including: - Calls (including automated or AI-assisted calls) - SMS text messages - Emails

Message frequency may vary. Message and data rates may apply. Consent is not required as a condition of membership or purchase.

AI-Assisted or Automated Calling Our organization may use AI-assisted or automated calling systems to follow up on inquiries and provide service information. These systems comply with applicable data privacy and communication regulations.

SMS Messaging Disclosure: By opting into SMS messaging, you agree to receive text messages from YMCA of the Pikes Peak Region regarding membership updates, programs, events, and responses to your inquiries. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for assistance.

Data Sharing Phone numbers collected for SMS communications will not be shared, sold, or disclosed to third parties for marketing purposes.

While we make reasonable efforts to remove your information from our systems, we cannot guarantee removal from third-party systems that may have previously received it.

1.2 Collection of Photographs

We may capture your image at a YMCA location or scan your personal identification to verify your membership, volunteer status, or participation in YMCA programs or services. Photographs are used for identification, safety, and operational purposes. Images will not be used for commercial purposes without your authorization and will be retained only for as long as reasonably necessary to support membership verification, safety, and YMCA operations.

1.3 Use and Disclosure of PII

PII may be used to communicate about YMCA activities or services. The Y does not disclose PII to third parties for unrelated purposes without permission, except as required or permitted by law. Trusted service providers may receive access to PII to provide operational support. Regulatory authorities may also be provided with information when legally required.

1.4 Collection of Payment Transaction Information

Payment or donation information is collected securely for transaction processing. Data is encrypted and only accessible by authorized personnel.

1.5 Collection of Non-Personally Identifiable Information

We may collect non-personally identifiable data through cookies, IP tracking, web beacons, and similar methods to improve website functionality and performance. Aggregate data may be shared with third parties.

1.6 Collection of Sensitive Information

Sensitive information, such as payment/billing data and health/emergency information, may be collected where necessary for membership and program participation. Access is restricted, and information is only disclosed when necessary.

1.7 Privacy of Children

We provide special safeguards for children under 13 in compliance with COPPA. Parents or guardians must provide verifiable consent, can access and request changes to their child’s data, and may prevent further collection. Offline collection of minor information follows similar safety and communication guidelines.

1.8 Links to Other Sites

Our websites may link to third-party sites. We do not control these sites and encourage users to review their privacy policies before providing personal information.

1.9 Personal Data Access and Accuracy

You may request access to or correction of personal information by contacting marketing@ppymca.org.

2.0 Security

YMCAs implement administrative, technical, and physical measures to safeguard against unauthorized processing or accidental loss of personal information. Absolute security cannot be guaranteed.

Consent to Transfer: YMCA websites are operated in the U.S. By providing information from outside the U.S., you consent to the transfer of your information to the United States.

Updating Your Personal Information You may update your information by emailing marketing@ppymca.org or sending a written request to: ATTN: Marketing Department, YMCA of the Pikes Peak Region, 207 N Nevada Avenue, Colorado Springs, CO 80903. Do not send Social Security numbers or other sensitive information via unencrypted email.
